How to Prepare Stems for Mixing (Without Wasting Anyone's Time)

Consolidated from bar one, named plainly, no printed effects, 24-bit. The exact export checklist that gets your mix started the day you send it instead of three emails later.

The single most common reason a mix takes three days instead of one is not the mix. It is that the stems arrived wrong and the first day went on emails.

Here is the whole checklist. It takes about ten minutes to do properly and it is the cheapest thing you will ever do for your record.

The five rules

1. Consolidate from bar one. Every stem must start at the exact same point, the very beginning of the session, even if that track is silent for the first minute. This is the one that matters most. If each file starts wherever its audio happens to begin, nothing lines up on import and the engineer has to reconstruct your arrangement by ear.

Your DAW may call this "consolidate," "bounce in place," or "export as stems with the full session length." Whatever it is called, the result you want is files of identical length.

2. Name them plainly. Lead Vocal, Double L, Double R, Adlib 1, Beat, 808. Not Audio 07_final_FINAL_v3. The engineer should be able to read the folder and understand the song without opening it.

If a track is meant to be panned somewhere specific, say so in the name or in a note. Double L tells us more than Double 2.

3. No printed effects, unless the effect is the performance. Send the vocal dry. No reverb, no delay, no compression baked in, no auto-tune printed unless the tuned sound is the sound you want.

The exception matters: if the hard-tuned effect, the pitched-down ad-lib, or the specific delay throw is part of the creative idea rather than a polish choice, print it and say so. Otherwise send it dry and let the mix make those choices where they can still be undone.

4. Export at the session's bit depth and sample rate. 24-bit, and whatever sample rate you recorded at, usually 48kHz. Do not convert, do not export MP3, and do not normalize. WAV or AIFF.

5. Leave headroom. Turn the master fader down if the session is clipping, but do not put a limiter on the master and bounce through it. Stems should peak somewhere below the top with room to spare. A stem that is already slammed cannot be mixed, only managed.

What to send alongside

A rough mix. Bounce your own version, however bad you think it is, and include it. This is the most useful file in the folder. It tells the engineer what you intended, which balance you were hearing, and where you thought the song sat. It answers questions no note can.

Two or three reference tracks. Songs that sound like what you want this to sound like. Not songs you enjoy. The target.

The tempo and key. Write it in the email. Thirty seconds for you, saves ten minutes of detective work.

A short note on what is bothering you. "The vocal disappears in the second verse" or "the low end feels weak on my car speakers." One paragraph. Specific problems get solved; "make it sound better" gets guessed at.

The mistakes we see most

Stems that start where the audio starts. Covered above, and it is the big one. Everything else on this list is minor by comparison.

MP3s. They have already thrown away information you cannot get back, and the mix amplifies what is there.

Effects printed by accident. Usually reverb left on a bus during the bounce. Check by soloing a stem and listening to the tail.

One stereo file with everything in it. That is not stems, that is a mix. If that is genuinely all you have, say so, because it changes what is possible and it changes the quote.

Forgetting the ad-libs. They are usually on quiet tracks that get missed in the export. Count your files against your session before sending.

Why any of this matters

A mix engineer's first hour is either spent mixing or spent rebuilding your session. There is no third option. Prep is the difference between a first pass landing inside 48 hours and a week of back and forth on file problems that had nothing to do with the music.

Frequently asked

Consolidate every track from bar one so all files are identical length, name them plainly, remove printed effects unless the effect is part of the performance, and export as 24-bit WAV or AIFF at your session sample rate. Include a rough mix and two or three reference tracks.

It means every exported file starts at the very beginning of the session, including silence, rather than at the point where that track's audio begins. It guarantees that when the engineer drags all the files in at once, everything lines up exactly as it did in your session.

Send them dry, with one exception. If an effect is a creative decision rather than a polish decision, such as a hard-tuned vocal or a pitched ad-lib that defines the part, print it and say so. Everything else should stay undone so it can be decided in the mix.

WAV or AIFF, 24-bit, at the session's sample rate, typically 48kHz. Never MP3, because lossy compression discards information the mix would then amplify.

You should. It is the most useful file in the folder, because it communicates the balance you were hearing and the intent behind the arrangement faster than any written note can.

Below clipping with headroom to spare. If the session is peaking, lower the master fader rather than limiting, and never bounce stems through a master-bus limiter. A stem that arrives already slammed cannot be properly mixed.
